  • Despite computer manufacturers’ promises of the paperless office,  shipments of office paper have risen 51 percent.
  • In less than 10 years, people in the US added almost 135 million information receivers—email addresses, cellular phones, fax machines, voice mailboxes, answering machines—up 265 percent.
  • In one year, 11.9 billion messages were left on voice mailboxes.
  • Even though people are clamoring  to get on the Internet, they are sending even more messages through the postal services, and they are talking on their telephones more than ever.

All companies can hold down costs and maximize the benefits of their communication activities if they just follow three simple guidelines:

  1. Reduce the number of messages;
  2. Speed up the preparation of messages;
  3. Train the writers and speakers.

Even though you may ultimately receive training on the job, you can start mastering business communication skills right now. Begin with an honest assessment of where you stand. Successful organizations have sophisticated communications equipment that will make it possible to adapt quickly to ever changing wants and needs. It is impossible to overemphasize the importance of information management in today’s organizations. Today 35 percent of all personal computers sold are laptop models that are more powerful than most business computers. Now these portable computers are being linked fax machines and cellular phones to send messages to anyone, anywhere, any time. The Constraints of Techno-stress


More than at any time in the history of our species, we are facing exploding levels of computerization and complication in our lives. Some of this seems beyond human control; for example, never being able to get through on the fax number because the system is programmed to the wrong mode. Offended by such a machine, many people naturally demand some satisfaction. Often a harmless oath, perhaps accompanied by a stiff thump, will satisfy our base urge for revenge.

On occasion, sterner punishments have been meted out. Childish retaliations against technology are doomed, and are wasteful of our limited time on this planet.

Of course, a lot of the techno-stress we encounter is self-inflicted by our unbridled love of gadget. With an array of office machines and household tools that would make the original James Bond seem a technological peasant, the average worker has invited a host of unnecessary mechanical inconveniences and breakdowns into his or her life to add to the overall levels of techno-stress.

Staying Close to Customers


  • Show them that you think of them. Send or fax helpful newspaper clippings, relevant articles, and greeting and birthday cards. How about sending a card on the anniversary of the day they became your customers?
  • Tell them what’s new. It is a good way to stay in touch and increase sales or get referrals.
  • Offer “valued customer” discounts. These can take the form of coupons, letters, or other sales promotions. This not only garners more orders; it also makes your customers happy to be getting such good deals.
  • Compensate customers for lost time or money if they were caused by problems with your product or service. Use a well thought-out recovery program and stick to it. Better to err on the side of generosity than lose an account out of stinginess!
  • Be personal. Keep notes in your customer files on every little detail you know—everything from spouse and children’s names to hobbies, and especially their behavioral style.
  • Always be honest. Nothing undermines your credibility more severely than dishonesty. Lies have a way of coming back to haunt you.
  • Accept returns unconditionally. The few bucks you might lose in the short run are far less than what you gain from pleasing the customer.
  • Honor your customer’s privacy. If you have been a truly consultative salesperson, you may possess some knowledge that should be kept confidential. Your ethical standards should demand that you keep it that way.
  • Keep your promises. Never, ever promise something that you cannot deliver. This principle applies to little things such as returning phone calls as well as big things like delivery dates. If you must, ‘baby-sit’ deliveries and promised service to see that they are realized. Your reputation is on the line.
  • Give feedback on referrals. This is the right way to show your appreciation for the referral. Tell your customer the outcome. This is also a good way to get more referrals without asking for them directly.
  • Make your customers famous … for 15 minutes. If your enterprise has a newsletter, ask customers for permission to write about their success. Then send a copy to your customer. The same can be done for local newspapers and other publications.
  • Keep lines of communication open. As in any relationship, assure your customers that you are open to all calls about everything and anything – ideas, grievance, advice, praise, questions etc. This is one ay to maintain that all-important rapport.

 Remember that people do business with people they like!

Communicating with Cultures Abroad


Thanks to technological advances in communication and transportation, companies can quickly and easily span the globe in search of new customers and new sources of materials and money. Even firms that once thought they were too tiny to expand into a neighboring city have discovered that they can tap the sales potential of overseas markets with the help of fax machines, the Internet, overnight delivery services, and e-mail. This rise of international business has expanded international business communication by increasing exports, relaxing trade barriers, and increasing foreign competition in domestic markets.

More and more businesses report that a large part of their overall sales now come from exports (products sold to customers in other countries).

As companies move into global marketplace, they increase the competition in domestic markets for employees, customers, and materials. In this fast-paced global marketplace, companies are finding that good communication skills are essential for meeting customers, making sales, and working effectively with colleagues in other countries.
