  • Focus on the customer’s need for accuracy and efficiency by methodically outlining steps, processes, or details related to a product or service.
  • Communication should be tied into facts, not feelings.
  • Have details and information prepared in advance and be thoroughly familiar with them
  • Approach encounters in a direct, businesslike, low-key manner.
  • Avoid small talk and speaking about yourself.
  • Ask specific open-ended questions about customers’ background or experiences related o the product or service.
  • Present solutions in a sequential fashion stressing advantages, value, quality, reliability and price. Also, be prepared to point out and discuss disadvantages.
  • Have documentation available to substantiate your claims.
  • Don’t pressure customer decisions and follow through on promises.

Direct Response


You should, if at all possible, engage in direct marketing. The value to you is enormous. You get to pinpoint your prospects with amazing accuracy. You can be selective in regard to age, race, sex, occupation, buying habits, money spent on past direct mail purchases, education, special interests, family composition, religion, marital status, and geographic location. The list should naturally start with your own customers. From there you can expand it to include people who have recently moved into your area, and people who have recently been married or divorced, or become parents. You can eliminate people who have moved away.

You might engage in a simple direct mailing of postcards to customers, informing them of a sale you will have the next week. They will very much appreciate the early notification and will show their gratitude by purchasing from you. You might also engage a full scale direct mailing, consisting of an outer envelop, a direct mail letter, a brochure, an order form, a postpaid return envelop, and even more.

Whatever you do, the process begins when you decide exactly what it is you wish to offer. How will you structure that offer? Then you must select your mailing list. If you haven’t got the names already, you can purchase them from a list broker. Be sure, you buy a clean, fresh list. You must be certain that you know all  the costs involved: postage printing, writing the mailing, artwork, paper, personalization (individualizing each letter by name and address, and repeat mailing costs. Your gross sales, minus these costs and your production, handling, and shipping costs, will contribute your profits. Be sure you make financial projections and know your break-even point.

In the old days, a direct mail campaign meant a letter. Today it means a letter, two, three or five follow-up letters, perhaps a follow-up phone call or two, and finally, one more direct mail letter. Many entrepreneurs engage in weekly or monthly direct mailings.

Principals for Defining Privacy Policy


Companies wishing to enact an internal privacy policy or code should consider as a starting point the three concepts that help define information privacy: data collection, data accuracy, and data confidentiality.

Data Collection: the following principles should be adhered to:

  • Data should be collected on individuals only to accomplish a legitimate business objective.
  • Data should be adequate, relevant, and not excessive in relation to the business objective.
  • Data should be obtained in a lawful manner.
  • Individuals must give their consent before data pertaining to them can be gathered. Such consent may be implied from the individual’s actions (e.g., when they apply for credit, insurance, or employment).

Data accuracy: to ensure that misleading information will not be distributed, the following principles apply:

  • Sensitive data gathered on individuals should be verified before it is entered in database.
  • Data should be accurate and, when necessary, kept up to date.
  • The file should be made available so the individual can ensure that the data is correct.
  • If there is disagreement about the accuracy of the data, the individual’s version should be noted and included in any disclosures of the file.

Data Confidentiality: the privacy policy should ensure confidentiality as follows:

  • Computer security procedures should be implemented to provide reasonable assurance against the unauthorized disclosure of data. These procedures should include physical, technical, and administrative security measures.
  • Third parties should not be given access to data without the individual’s knowledge or permission, except as required by law.
  • Disclosures of data, other than the most routine, should be noted and maintained for as long as the data is maintained.
  • Data should not be disclosed for reasons incompatible with the business objective for which it was collected.

Unrestrained Empowerment: Value Killer


A bank performs many different functions, but in the long run it has value for its customers only if it handles their money accurately and safely. Therefore the foundation of every role within the bank, whether it is trader, investment adviser, or teller, is the need to do it accurately and safely. To show employees exactly what it means to be “accurate” or “safe,” the banking industry has defined regulatory steps, and each bank has its own internal guidelines. The bank’s employees must adhere to these. This isn’t the only part of their job, but it is the foundational part. Any manager who forgets this, who gives his employees too much room to maneuver, runs the risk of destroying the bank’s value.

All roles demand some level of accuracy or safety, and therefore all roles require employees to execute some standardized steps. Great managers know that it is their responsibility to ensure that their employees know these steps and can execute them perfectly. If that flies in the face of individuality, so be it. Unrestrained empowerment can be a value killer.

Strategic Decisions


There are three central characteristics of strategic decision making:

  1. Strategic decisions that affect the very survival of the firm;
  2. The effects of a decision last a long time, perhaps five to ten years;
  3. The long range effects of a decision are very hard to forecast.

Actually, the first characteristic is really the definition of a strategic decision. The other two characteristics follow from it. If we could correct a bad decision of any size within a year or two, then it would be less likely to harm the firm permanently. And it should be clear that any decision whose effects last for many years will be extremely difficult to forecast.

Difficulties of long-range forecasting include:

  1. Long-range forecasts are usually ill-structured; that is, it is impossible to make a really good mathematical model of what is being forecasted.
  2. Forecasting accuracy drops off rapidly as one looks further into the future. This is essentially because unforeseeable change accumulate as we peer further and further ahead.
  3. Forecasts need to mix subjective and objective information, since different kinds of information are being captured.
  4. The longer the horizon, the less objective information is available, the worse models will be, and the more we must rely on subjective forecasts.

Given that huge financial stakes are involved and that strategic decisions have a long horizon with poor forecasts available, it is hardly surprising that most Operations Management texts do not delve deeply into this problem. Many methods which are in practical use are not deeply quantitive, and are, in any event, difficult to describe and justify. Nevertheless, manufacturing executives do not have the luxury of ignoring strategic decision making and must be careful consumers of the best available methods.

All about Reactivity


Reactivity simply means changes that come about in the client/system or in the problem due to the act of measurement itself. Reactive measures are those of which the client/system is aware and to which the client/system reacts. When reactivity occurs, the observation or monitoring process leads to change in the problem without any other intervention taking place. Conversely, non-reactive measures are those which do not themselves bring about change in whatever it is you are measuring.

 

Reactivity in a sense really affects the accuracy of your information. If the problem changes simply because of the measurement, you obviously would have a difficult time evaluating the intervention process and separating out the effects of the recording from the effects of your intervention. Reactivity, in short, affects the accuracy of the information you are recording. In addition, if any changes do occur as a result of reactivity, they often are not mentioned over time, leading to even more difficulty in achieving success in the long run.

 

There are a number of types of reactivity as well as ways of overcoming or diminishing reactivity. Primary among these ways of overcoming reactivity is attempting to select a measure that is non-reactive or unobtrusive. Our primary guideline in selecting a measure is, when everything else is equal (which, of course, it rarely is), try to use the least obtrusive measure possible. That is, try to use non-reactive measures when you can, or if you are using more than one measure, try to include at least one non-reactive measure.

Plagiarism and Copyright Violation


Plagiarism and copyright violation are complicated issues, especially in modern technical writing.

Plagiarism is the practice of using someone else’s words or ideas without crediting the source. Many organizations treat authorship of internal documents, such as memos and most reports, casually; that is, if the organization asks you to update an internal procedures manual, it expects you to use any material from the existing manual, even if you cannot determine the original author.

Organizations tend to treat the authorship of published documents, such as external manuals or journal articles, more seriously. Although the authors of some kinds of published technical documents are not listed, many documents such as user’s guides do acknowledge their authors. However, what constitutes authorship can be a complicated question, because most large technical documents are produced collaboratively, with several persons contributing text, another doing the graphics, still another reviewing for technical accuracy, and finally someone reviewing for legal concerns. Problems are compounded when a document goes into revision, and parts of original text or graphics are combined with new material.

The best way to determine authorship is to discuss it openly with everyone who contributed to the document. Some persons might deserve to be listed as authors; others, only credited in an acknowledgment section. To prevent changes of plagiarism, the wisest course is to be very conservative: if there is any question about whether to cite a source, cite it.

A related problem involves copyright violation. Copyright law provides legal protection to the author of any document, whether it be published or unpublished, and whether the author be an individual or a corporation. Unfortunately, some companies will take whole sections of another company’s product information or manual, make cosmetic changes, and publish it themselves. This, of course is stealing.

But the difference between stealing and learning from your competitors can be subtle. Words are protected by copyright, but ideas aren’t. Rare is the manufacturer who doesn’t study the competitor’s users’ guides to see how a feature or task is described. Inevitably, a good idea spreads from one document to another, and then to another. If one manual contains a particularly useful kind of troubleshooting guide, pretty soon a lot of others will contain similar ones. Even though this process of imitation tends to produce a dull uniformity, it can improve the overall quality of the document. Under no circumstances, however, should you violate copyright by using another organization’s words.
