Writer’s Checklist


When writing a technical report ask yourself following questions:

  • What is reader’s name and job title?
  • What are reader’s chief responsibilities on the job?
  • What is reader’s educational background?
  • What is your reader’s professional background (previous positions or work experience)?
  • What is reader’s attitude toward the subject of the document?
  • What will the reader do with the document: file it, skim it, read only a portion of it, study it carefully, modify it and submit it to another reader, attempt to implement recommendations?
  • What are the reader’s likes and dislikes that might affect his/her reaction to the document?
  • How will your reader’s physical environment affect how you write and package the document?
  • What is your purpose in writing?
  • What is the document intended to accomplish?
  • Is your purpose consistent with your audience’s needs?
  • How does your understanding of your audience and of your purpose determine your strategy: the scope, structure, organization, tone, and vocabulary of the document?
  • Are there any organizational constraints that you have to accommodate?
  • Are there any informational constraints that you have to accommodate?
  • Are there any time constraints?
  • Have you checked with your primary reader to see if he or she approves of your strategy for the document?

Ethical Climate


The unspoken understanding among employees of what is and is not acceptable behavior is called an ethical climate.

In most companies, a moral atmosphere can be detected. People can feel the way the ethical winds are blowing. They pick up subtle hints and clues that tell them what behavior is approved and what is forbidden. Ethical climate is part of the corporate culture that sets the ethical tone in a company. There are three different types of ethical yardsticks: egoism (self-centeredness), benevolence (concern for others), and principle (respect for one’s own integrity, for group norms, and for society’s laws). These ethical yardsticks can be applied to dilemmas concerning individuals, a company, or society at large.

Incorporated Business


When you incorporate, your business becomes its own separate legal entity. The business consists of shareholders who purchase shares in the business and who are responsible for its operation. You can incorporate a one-owner business and own all the shares of that company. The company has a president, and if more than one person is involved, a secretary-treasurer and directors. Stricter control can be maintained with a board of directors, who can make decisions. Outrageous suggestions by one person can be blocked if company policy stipulates that any significant changes must be approved by the board.

Organization Structure and Innovations


Organizational structure fulfils many functions—everyone in the organization knows who he or she reports to; how various repetitive/routine activities are to be discharged; who has what authority and responsibility; how personnel are grouped together (e.g., by departments or divisions); which individuals/groups have decision-making authority and which have primarily advisory functions (line versus staff functions); and what mechanisms are deployed primarily for reducing decision-making uncertainty, for ensuring differentiated or specialized responses to the operating environment, and for coordinating and integrating these differentiated or specialized responses. A well-designed structure that is compatible with strategy or is internally coherent and compatible with the organization’s operating environment tends to contribute to superior organizational performance.

Can organizational structure facilitate innovations? Possibly. Relatively flat managerial hierarchy and extensive decentralization or delegation of authority, including extensive use of profit centers and SBUs.

Certain kinds of structural changes, notably creating many self-contained, substantially autonomous units with stretch targets, extensive delegation of authority to lower level decision-makers, and delayering (removal of some of the managerial levels to reduce the number of approving authorities for innovation)  may increase the potential innovations of the organization.

Checklist for Evaluating a Franchise


The Franchise

  • Did your lawyer approve the franchise contract you are considering after he or she studied it paragraph by paragraph?
  • Does the franchise give you an exclusive territory for the length of the franchise?
  • Under what circumstances can you terminate the franchise contract and at what cost to you?
  • If you sell your franchise, will you be compensated for your goodwill (the value of your business’s reputation and other intangibles)?
  • If the franchisor sells the company, will your investment be protected?

The Franchisor

  • How many years has the firm offering you a franchise been in operation?
  • Has it a reputation for honesty and fair dealing among the local firms holding its franchise?
  • Has the franchisor shown you any certified figures indicating exact net profits of one or more going firms which you personally checked yourself with the franchisee? Ask for the company’s disclosure statement.
  • Will the firm assist you with:

A management training program?

An employee training program?

A public relations program?

Capital?

Credit?

Merchandising ideas?

Getting a Corporate Charter


The first step of incorporation is to submit a formal application, usually to the secretary of state in the state in which you want to incorporate. This becomes the corporate charter, the document usually includes the name, address, and purpose of the business, a listing of the board of directors and the principal stockholders, the types of stocks to be used by the company, and the mechanism to be used for amending the charter. Incorporation usually takes place when this corporate charter is approved by the state.

Beyond Customer Satisfaction


Satisfying the customer is no longer the ultimate business virtue. Companies need to look for ways to create and increase customer loyalty. The key to this new loyalty-centered approach to customer relationships is creating and managing the customer value package – the combination of factors (price, product quality, innovation, and company image) that creates what the customer perceives as superior value. Five steps are recommended:

  1. Clearly define and communicate your objectives. The company needs to make sure that every stakeholder clearly understands the importance of  creating and delivering customer loyalty and knows how to make it possible.
  2. Let customers define, in their own words, their criteria for quality, price, image, and value. The company needs to distinguish between basic requirements and loyalty builders. Meeting the basic requirements will get the company on the approved vendor list, but generating loyalty will encourage a customer to stick with the company during difficult times.
  3. Conduct a critical need and value assessment. The company must set priorities among important customer requirements and determine the relative importance of these aspects of the customer value package.
  4. Develop an action plan and move to implementation. This turns management of customer loyalty into a way of doing business. The company must make sure that the voice of the customer becomes the principle around which the business processes are organized.
  5. Monitor the marketplace and organization results. Managing customer value is not a one-time effort, so all the loyalty-building components of customer value have to be monitored regularly with a focus on the relationship between customer value, customer loyalty, and financial performance.

The Planning Process


There is nothing mysterious about the planning process, since planning is something we all do everyday, often without even knowing it. The planning process parallels the decision-making process; this makes sense, since developing plans involves deciding today what you’ll do tomorrow. Both involve establishing objectives on criteria, developing and analyzing alternatives based on information you obtain, evaluating the alternatives, and then making a choice.

The planning process is basically the same when managers plan for their companies, but there are two added complications. First, there’s usually a hierarchical aspect to management planning. Top manager approves a long-term plan first; then each department creates its own budgets and other plans to show how it will contribute to the company’s long-term plan.

Second—and especially in big companies—the planning process may be quite formal and involve much interaction and give-and-take between departments and a group we might call “corporate central.” In other words, in many firms plans are bounced back and forth between the departments and a centralized planning staff, whose main purpose is to review and help define the plans of each department.

How Losers Operate?


Losers tend to stick with a particular and hierarchical model of operation. The structure is set out in organization charts. There are probably job descriptions for most positions, and how the organization operate is set out in a physical or electronic manual. Preparing these and understanding them takes time. Hence people are reluctant to make changes that might involve altering diagrams, updating files and reprinting documents. Some people become complacent. They believe they have discovered or created a formula for continuing business success. They also swear by particular approaches and enshrine them in standard processes and procedures. The framework solidifies.

 Many losers have a weakness for single solutions, panaceas and fads. They believe that this management approach, that technology or a particular consultant’s methodology will provide and answer and solve their problems. While struggling to make a chosen course of action work they fail to consider alternative options. They look themselves in.

 Employees who can be trusted to operate in approved ways and observe standard practice are promoted. After some time corporate structures, processes, systems and mindsets become rigid and inflexible. Subject them to increasing stress and they first creak and groan, and then snap. Increase workloads and transaction flows and people in ‘loser’ organizations struggle to cope. Rather than operate in new ways or change processes they endeavor to work harder, faster and for longer hours. They quickly become overloaded and break down. Work-life balance is an issue in these companies because staff suffer the pressures without enjoying any of the compensating benefits.

 There are often alternative ways of achieving the same objective. Boats of many types and sizes may be capable of making the same journey, although imposing very different demands upon their crews. The craft chosen will reflect their preferences and aspirations. There may also be alternative routes to the same destination.

New Product Process


New products actually build up the way rivers do. Great rivers are systems with tributaries that have tributaries. Goods that appear complex are just collections of metal shapes, packaging material, fluids, prices, and so on. A good anology is the production of automobiles, with a main assembly line supported by scores of subsidiary assembly lines scattered around the world, each of which makes a part that goes into another part that ultimately goes into a car in that final assembly line.

 If you can imagine the quality control people in auto parts plants evaluating each part before releasing it to the next step, you have the idea of a new product evaluation system. The new product appears first as an idea, a concept in words or pictures, and we evaluate that first. As workers turn the concept into a formed process of metal, or software, or a new factory site preparation service, that good or service is then evaluated. When a market planner puts together a marketing plan, its parts are evaluated separately (just as minor car parts are) and then evaluated again in total, after it is added to the product.

 The fact that we evaluate the product and its marketing plan as separate and divisible pieces is what lets us telescope the development process into shorter periods of time. There was an era when we went through a new product’s development step by step, nothing “ahead of its time.” But today we may be working on a package before we actually have finished product, we may be filming part of a commercial before the trademark has been approved and finalized.

 This sometimes causes some backtracking, but the cost of that is less than the costs of a delayed introduction. It does require, however, that we have thought through carefully the item’s overall development needs—and, which of those needs are crucial, and which not crucial. Any evaluation system must cover the crucial ones.
