Talking about Bookkeeping


Everyone knows intuitively, if not experientially, that good bookkeeping is good business. If you don’t keep track of your business’s money matters—what comes in and what goes out—you will be in the dark as to how well or poorly your business is doing, and hence how well or poorly you’re handling certain aspects of the business. After all numbers do not lie. If they indicate that all is well, you’ll be able to capitalize on your success by, if nothing else, continuing to do with confidence whatever you’re doing right. If the numbers reveal that all is not well, you will be able to take appropriate measures to solve problems which if left unchecked could land you in failure zone. Just as with certain physical diseases, early detection means early cure and increased chance of survival. Lastly, it goes without saying that slipshod recordkeeping can cost you time, anxiety and even money when tax time rolls around. In sum, while its understandable that people are inclined to avoid and neglect bookkeeping matters, its fundamentally inexcusable.

Fraction


A fraction consists of two numbers separated by a horizontal or slanting bar. In either event, the number to the top or left of the bar is called the numerator while the number below or to the right of the bar is called the denominator.

There are at least four different interpretations for a fraction:

  • A part of a whole;
  • A part of a group;
  • Division of two numbers; and
  • Ratio of two numbers.

There are three different kinds of fractions:

  • A proper fraction – a fraction with a numerator less than the denominator;
  • An improper fraction – a fraction with a numerator greater than or equal to the denominator;
  • A complex fraction – a fraction consisting of a fractional numerator, a fractional denominator, or both.

Management Reshuffles


If you are reorganizing frequently—that’s a killer sign. The disruption that reorganization brings is too great for any sane organization to live with. The worst part is that it will be the same tired old faces who screwed up the last organization that get another chance to do it all again, while someone else picks up the mess they left behind. When everyone moves one job to the left, no one can be blamed for anything.

Personality Cults


In the absence of an agreed working culture the leaders of an organization will use their own personalities to dedicate the way relationships are handled in their own area of influence.

The relative power and influence of each member of the leadership team will determine the relative strength of their cultural influence. Whatever the relative balance, however, you can be absolutely certain that this will create confusion, waste and stress.

The result will be a cult personality with the more dominant leaders commanding more followers, resulting in a split working culture within the organization.

The effect of this can be seen in the way organizations respond differently to sales enquiries than to service enquiries.

How many times you  have been left to wonder alone in a shop because a sales assistant is suddenly needed elsewhere when they discover that you are only enquiring and not intending to buy then and there?

It is interesting to note that when individual people suffer from a split or multiple personality they are usually diagnosed as schizophrenic  and receive the benefit of medical help. When organizations suffer from a split or multiple culture, it is usually accepted as normal.

Flow of Communication Messages


  • Despite computer manufacturers’ promises of the paperless office,  shipments of office paper have risen 51 percent.
  • In less than 10 years, people in the US added almost 135 million information receivers—email addresses, cellular phones, fax machines, voice mailboxes, answering machines—up 265 percent.
  • In one year, 11.9 billion messages were left on voice mailboxes.
  • Even though people are clamoring  to get on the Internet, they are sending even more messages through the postal services, and they are talking on their telephones more than ever.

All companies can hold down costs and maximize the benefits of their communication activities if they just follow three simple guidelines:

  1. Reduce the number of messages;
  2. Speed up the preparation of messages;
  3. Train the writers and speakers.

Even though you may ultimately receive training on the job, you can start mastering business communication skills right now. Begin with an honest assessment of where you stand. In the next few days, watch how you handle the communication situations that arise. Then in the months ahead, try to focus on building your competence in areas where you need the most work.

Going Beyond Job Description


The projects people take on which are not part of their day-to-day job description, which have not been assigned to them, are those projects for which people get the most credit and recognition.

The jobs most people have existed before they got there and will continue to exist after they’ve left. The job is the constant. What you do by going beyond it is what gets noticed. Most positions in a company are three-quarters functional, meaning the set responsibilities and duties that came with it, and one quarter personal style. The degree by which you can stretch this 25 percent is the degree by which you will stand out in your company.

Inspect Products at the Right Time


Inspections used to be left until the later stages of the process – often just before the finished products were delivered to customers. As there was more chance of a product being faulty by the end of the process, all defects could be found in one big, final inspection. But the longer a unit is in a process, the more time and money is spent on it – so it makes sense to find faults as early as possible before any more money is wasted by working on a defective unit. It is better for a baker to find bad eggs when they arrive at the bakery, rather than use the eggs and then scrap the finished cakes.

Your first quality control inspections should come at the beginning of the process, testing materials as they arrive from suppliers – and there is a strong case for inspections within suppliers’ own operations. Then you should have inspections all the way through the process to the completion of the final product and its delivery to customers. Some particularly important places for insperctions are:

  • On raw materials when they arrive;
  • At regular intervals during the process;
  • Before high-cost operations;
  • Before irreversible operations, like firing pottery;
  • Before operations that might hide defects, like painting;
  • When production is complete;
  • Before shipping to customers.

This may seem like a lot of inspections, but remember that most of them are done by people working on the process. Quality at source means that the products are not taken away for testing in some remote laboratory, but are checked at each step before being passed on the next step.

Creative Management of Product Design


An emerging area of importance is product/process design. In increasingly competitive, sophisticated markets, attractively designed products or processes sell well; shoddily designed products are left alone on the shelves. Excellent product design requires high orders of essence creativity (novel ideas), elaborative creativity (contextually relevant elaborations of ideas that are unique because of the kinds of components utilized and the way they are fitted together), and expressive creativity (unique aesthetic features). There can be following basic steps for coming up with successful and creative product design:

a)    The designing unit should have members with diverse expertise so that their brainstorms can result in unique product design concepts that are also practical.

b)   It is imperative that the design unit has an in-depth understanding of the client and the market, the technologies needed or involved, and the nature of the problem and the constraints that need to be kept in mind.

c)    The design unit must take the trouble to observe people in real-life situations to identify their needs, difficulties, likes, dislikes, etc. Creative design needs creative observation, that is observation that is not only accurate but also multi-angled so as to yield interesting design possibilities. Innovation begins with eyes. The design unit needs to create a ‘bug-list,’ that is, a list of the problems that presently bug the likely users of the future products.

d)   The design unit needs to visualize a new product concepts and the customers who could be captivated by them. This can involve building several physical models and prototypes, simulations on the computer, and creation of videos that portray high the new product may be used by people well before it comes into existence.

e)    The design unit needs to evaluate and refine the prototypes/models through several quick iterations, each one involving changes and improvements. Inputs should be secured not only from members of the design unit, but also from experts, the client, and the potential consumers. Exceptional design seldom come right the first time around. Serially generated improvements based on the reactions and suggestions of the product’s stakeholders can quickly get the design unit to an exceptional design.

f)     Effective implementation that leads to the commercial use of the product. This is often a long and tedious process that creative teams frequently neglect. But the planning of milestones, cost cutting and cost control efforts, packaging and so forth are indispensable if a product design is to taste commercial success.

Behavior Products


Behavior products essentially refer to measurements of the effects or results of behaviors rather than the behaviors themselves. That is, rather than directly monitoring the actual behavior of the client, you would monitor any temporary or permanent effect (product) that can be seen as the result of a specific behavior. When the behavior product is simply deposited or left over from some ordinary set of client/system interactions, the “product” is synonymous with a type of “physical traces.”

 

Behavior products can be used when a more direct measure of the behavior might interfere with the behavior directly, or when the behavior itself is not available for measurement. Since the observer is not ordinarily present when behavior products are used, there is less chance for the measurement process to interfere with the natural occurrence of the behavior.

 

There are a number of advantages of using products. First, a product readily lends itself to precise counting and quantification for evaluation purposes. Second, the observer does not have to be present when a behavior is being performed. Third, using behavior products generally does not disturb or interrupt the ongoing flow of the client’s behavior. Finally, use of behavior products is relatively easy to implement, requires little or no special equipment, and can easily be taught to the client or relevant others.
