Audience-Centered Approach to Communication


Beside other things, effective organizational communication is audience-centered approach. Keep your audience in mind at all time during the process of communication. Empathizing with, being sensitive to, and generally considering your audience’s feelings is the best approach for effective communication. The audience-centered approach is more than an approach to business communication; it’s actually the modern approach to business in general, behind such concepts as total quality management and total customer satisfaction.

 Because you care about your audience, you take every step possible to get your message across in a way that is meaningful to your audience. You might actually create lively individual portraits of readers and listeners to predict how they will react. You might simply try to put yourself in your audience’s position. You might try adhering strictly to guidelines about courtesy, or you might be able to gather information about the needs and wants of your audience. Whatever your tactic, the point is to write and speak from your audience’s point of view.

Inflation and the Rule of 72


No formula is more useful for understanding inflation than the rule of 72. Basically, the idea is to compute quickly how long it takes the cost of goods and services to double at various compounded rates of growth. For example, if houses were increasing in cost at 9 percent a year, how long would it take for the price of a home to double? The answer is easy to calculate. Simply divide the annual increase (9 percent) into 72 and you get a number of years it takes to double the price (eight years). If houses go up in price by 12 percent, it only takes six years to double in price (72 divided by 12 = 6), and so on. Of course, the same calculation can be used to predict how high food prices or car prices will be 10 years from now.

Peer Appraisals


With more firms using self-managing teams, peer or team appraisals—the appraisal of an employee by his or her peers—are becoming popular. For example, an employee chooses an appraisal chairperson each year. That person then selects one supervisor and three other peers to evaluate the employee’s work.

Peer appraisals can predict future management success. Peer ratings have other benefits. Peer appraisals have an immediate positive impact on improving perception of open communication, task motivation, social loafing, group viability, cohesion, and satisfaction.

Required Organizational Performance


Required organizational performance demonstrates that the same levels of performance will produce markedly different levels of success for different organizations; and in return, that the same degree of success can be achieved by different organizations putting in different levels of performance.

Required organizational performance is based on the interplay between two key variables and suggests that by linking these two variables we can predict the level of performance that an organization must deliver to succeed.

  • Duration of competition, defined as the period of time that an organization is actively planning for, that is to say the time they willing to wait until the benefits of their decisions start to materialize. Every decision that we make comes with an attached time scale – are we willing and can we afford to invest three years in a project, or do we  want results within the next three months or even the next three days?
  • Degree of competition, which reflects the openness of the marketplace  to new entrants and how fiercely other organizations are competing for the same customers. The degree of competition is determined by the market conditions.

Information: The Corporate Power


The explosion of the general public’s use of the Internet or World Wide Web was mirrored by business. In the 1990s, business connections to the Internet increased from 1,000 firms to an estimated 21,000 or more by 1996. Experts predict this growth to increase rapidly into the year 2000.

The Internet can provide firms with many advantages. For example, developing a marketing strategy that relies on the Internet can benefit firms by replacing electronic mail systems, providing a global reach to customers, selling products and services in cyber space, and creating on-line databases, media lists, and other marketing tools. Firms discovered that customer service was enhanced with the Internet.

Use of the Internet became one of the hottest new strategies in the securities trading industry. Brokers had more information available to them to assist their clients since resources were available electronically. In addition, Internet-based brokers can be reached anytime from any computer with a secure Web browser, making them more accessible to their clients.

Paperless libraries dramatically changed the way information was stored and significantly reduced costs to businesses. Rather than printing information on paper, firms documented information on CD-ROMs, videodiscs, and the Internet, where it was stored and retrieved at less cost.

Supplementing the Internet as a communication tool are intranets, private or limited information network systems cordoned off from public access by software programs called firewalls. The corporate use of intranets exploded as companies found that these information communication systems were very expensive.

Satellite imaging was another technological advancement that showed promise for integrating technology into business. For decades, governments used satellite imaging to spy on their enemies. In the 1990s, companies were finding other uses for this technology.

Defining Norms


A norm is a standard against which the appropriateness of a behavior is judged. Thus, a norm is the expected behavior or behavioral pattern in a certain situation. Group norms usually are established during the second stage of group development (communication and decision making) and carried forward into the maturity stage. People often have expectations about the behavior of others. By providing a basis for predicting others’ behaviors, norms enable people to formulate response behaviors. Without norms, the activities within a group would be chaotic. Norms serve four purposes:

  1. Norms help the group survive. Groups tend to reject deviant behavior that does not contribute to accomplishing group goals or to the survival of the group if it is threatened. Accordingly, a successful group that is not under threat may be more tolerant or deviant behavior.
  2. Norms simplify and make more predictable the behaviors expected of group members. Norms mean that members do not have to analyze each behavior and decide on a response. Members can anticipate the actions of others on the basis of group norms. When members do what is expected of them, the group is more likely to be productive and to reach its goals.
  3. Norms help the group avoid embarrassing situations. Group members often want to avoid damaging other members’ self-images and are likely to avoid certain subjects that might hurt a member’s feelings.
  4. Norms express the central values of the group and identify the group to others. Certain clothes, mannerisms, or behaviors in particular situations may be a rallying point for members and may signify to others the nature of the group.

Low Corporate Libido


Have you seen an organization with its head down and all its bounce gone? It is sad as it gets in organizational terms.

You know what is going on the second you walk into the office. Everybody looks that bit scruffier than they have a right to look. Even the office looks tired. People walk more slowly than they need to and the hourly trip to the toilet is eagerly anticipated. The most active sign of life is always outside the fire exit where furtive smokers gather, regardless of the rain, to predict who will be next to leave.

Customer service descends to an all-time low and the only people recruiting will be the complaints department.

Everything is a problem under these conditions and cost cutting is more important than growth, regardless of the idea, those with initiative are considered to be actually rather annoying.

This is the day-to-day reality for thousands of employees working in organizations suffering low corporate libido.

Statistical Analyses


The role of database is to help select names for modeling, implement the results of the modeling process by scoring names and assigning them to the appropriate decile, and selecting names by decile and other criteria for marketing programs. Most companies use statistical analysis for two principal reasons: a) segmentation, and b) predictive modeling.

Segmentation techniques are used to identify and profile groups of customers whose characteristics are similar. If the objective is to segment customers based on their performance, then the procedure is to group people according to their performance characteristics and then develop profiles of each performance group. Typical segmentation variables are performance measures such as recency, frequency, and monetary value of purchases; types of products purchased; or types of promotions responded to.

By linking this data with customer performance data, marketers can analyze who buys what and use the profiles of customers in each segment as a means of finding other customers like them.

Once the segments have been created, individual customers will be assigned to segments and these assignments will be recorded in the database. This makes subsequent selection of individuals for promotion based on the segmentation criteria relatively simple.

Predictive Modeling, based on previous purchase history, based on recency, frequency, and monetary value, models can be developed to predict who is most likely and least likely to purchase at the next opportunity. This scoring model would be used to determine who should be promoted and what they should be promoted with.

Once scoring models have been executed and customers assigned to deciles, this information is recorded in the database so that subsequent selection of customers who have the highest probability of responding to a promotion is easily accomplished.

End users would use a selection menu in which they would indicate which scoring model they wish to use and either a specific cutoff score or a desired number of names to select. The database would then perform the selection and produce an output file to the specific medium. This would either be a file, a magnetic tape, or mailing labels. A file could either be used for further analysis, or in many cases, the file could be combined with a patterned letter file to produce personalized mailings.

Public Relations Advertising


The past few decades have witnessed a substantial increase in the attention given by producers to their relations with various publics. There are many facets to public relations, which makes it difficult to develop a concise all-encompassing definition.

Public relations practice is the art and social science of analyzing trends, predicting their consequences, counseling organization leaders, and implementing planned programs of action which will serve the organization’s and the public interest.

Given the potential, advertising may provide an efficient instrument of communication in furthering the public relations of various firms.

Producers may have many “publics” to consider, including stockholders, employees, customers, prospective customers, professional educators, legislators, and citizen voters. All these and others have some interest in, and association with, specific firms. The attitudes that individuals and groups of people have toward the policies and practices of specific business institutions can have an important bearing on strikes, work slowdowns, consumer patronage, education of youth, and business legislation.

The means and ends of “public relations” advertising by producers are diverse. Generally, however, there is a common purpose—to favorably influence one or many of the firm’s public, in an inceasingly independent society.

Developing Audience’s Profile


If you’re communicating with someone you know well, perhaps your boss or a co-worker, audience analysis is easy. You can predict their reactions pretty well without a lot of research. On the other hand, if your audience is made up of strangers, you have to do some investigation to learn about them before you can use common sense to anticipate their reactions.

  • Determine audience size and composition.
  • Indentify the primary audience.
  • Estimate the audience’s probable reaction.
  • Guage the audience’s level of understanding.
  • Define your relationbship with the audience.
