Writer’s Checklist


When writing a technical report ask yourself following questions:

  • What is reader’s name and job title?
  • What are reader’s chief responsibilities on the job?
  • What is reader’s educational background?
  • What is your reader’s professional background (previous positions or work experience)?
  • What is reader’s attitude toward the subject of the document?
  • What will the reader do with the document: file it, skim it, read only a portion of it, study it carefully, modify it and submit it to another reader, attempt to implement recommendations?
  • What are the reader’s likes and dislikes that might affect his/her reaction to the document?
  • How will your reader’s physical environment affect how you write and package the document?
  • What is your purpose in writing?
  • What is the document intended to accomplish?
  • Is your purpose consistent with your audience’s needs?
  • How does your understanding of your audience and of your purpose determine your strategy: the scope, structure, organization, tone, and vocabulary of the document?
  • Are there any organizational constraints that you have to accommodate?
  • Are there any informational constraints that you have to accommodate?
  • Are there any time constraints?
  • Have you checked with your primary reader to see if he or she approves of your strategy for the document?

Rational Management


Rational management means making full use of the thinking ability of the people in an organization. It is a continuing process. Use of the ideas and their benefits will eventually fade out if they are not continually used and reinforced.

Rational management aims at major change and therefore demands major commitment. But this system cannot be introduced by half-heartedly sprinkling a few ideas and suggestions among a random mix of the organization’s people in the hope that something good will happen. We must identify the significant people within the organization, for they should be the first to learn and use the new ideas. We must identify their subordinates and the people who provide them with information. We must identify those who will implement the conclusions that come out of the use of the ideas. In short, it is imperative to pinpoint all the people within an organization who make things happen. The objective is to move the organization closer to it full potential. This can be done only by introducing teamwork based on the continuing conscious use of common approaches expressed in a simple, common language and directed toward resolution of an organization’s important concerns.

Job-Related Attitudes


Attitudes are an important consideration for managers. Employee attitudes may be related to behaviors critical to the organization: dissatisfied employees. Negative attitudes towards the organization can also spur employees to consider forming or joining a labor union. Theory and research on attitudes can help managers understand employee attitudes toward the workplace. In general, employees develop consistent and identifiable sets of attitudes toward job attributes, such as pay, working conditions, and the job’s tasks.

Managerial Functions


There are four basic managerial functions are planning, organizing, lending, and controlling. By applying these functions to the various organizational resources—human, financial, physical, and information—the organization achieves different levels of effectiveness and efficiency.

  • Planning: The first managerial function is the process of determining the organization’s desired future position and deciding how best to get there.
  • Organizing: It is the process of designing jobs, grouping jobs into manageable units, and establishing patterns of authority among jobs and groups of jobs. This process designs the basic structure of the organization.
  • Leading: It is the third managerial function, is the process of getting members of the organization to work together toward the organization’s goal. Major components of leading include motivating employees, managing group dynamics, and leadership per se, all of which are closely related to major areas of organizational behavior.
  • Controlling: It is the process of monitoring and correcting the actions of the organization and its people to keep them headed toward their goals.

Needs of 21st Century Organization


No one in his right mind wants to go back to the days of hunting and gathering. But it would be tremendously valuable if we could recapture that ability to work together with even a fraction of that efficiency to deal better with modern problem situations. Now, through contrivance and planning, we can recapture that ability and channel it to meet the needs of 21st century organization.

This is not to say that the organizational team will somehow represent a 21st century hunting group around with ballpoint pens instead of bows and arrows. Hunters’ ways of thinking were totally aligned, and their lives were totally aligned. What is required today is not total teamwork in all aspects of life; rather, it is selective, functional teamwork that can be turned on when needed, limited to those activities where it will be most productive. What is required is teamwork that can be summoned to handle organizational problems yet leave team members free to act as individuals in all other respects.

An approach is needed that can be invoked and shared when we need answers to specific questions, regardless of content that applies orderliness to complexity and confusion.

This kinds of accurate communication and common understanding is needed that prevail in the hunting bands. These must be modernized, selectively adapted to current conditions, and directed towards the critical functions of organizational activity where teamwork is most essential. All of this can be done.

Attitudes and Behaviors


Currently, there is considerable disagreement over the relationship between attitudes such as job satisfaction and behaviors like performance, turnover, and absenteeism. However, carefully constructed analyses yield promising insights into these relationships.

In particular, it can be argued that it is inappropriate to investigate relationships between a general attitude such as job satisfaction and specific behaviors such as productivity. Alternatively, logical relationships might exist between a specific attitude, such employee’s attitude toward working hard on a given day, and the actual behavior reflected by work produced on that day. In other words, specific attitudes toward certain behaviors are more likely to be associated with the entire set of behaviors rather than with individual ones. Hence, it is important to keep the attitude and behavior properly focused in terms of their relative specificity.

Leadership Styles


An effective leader recognizes that there are variations in leadership styles. The three basic styles are autocratic, free rein, and democratic. Autocratic leaders make decisions on their own, without consulting others. Democratic leaders involve their subordinates in making decisions. Free-rein leaders believe in minimal supervision, leaving most decisions to their subordinates.

The best leadership style is one that varies with the circumstances, changing according to three elements: the leader, the followers, and the situation. Some leaders are simply unable to encourage or even allow subordinates to participate in decision making. And some followers do not have the ability or the desire to assume such responsibility. Furthermore, the particular situation helps determine which style will be most effective. Problem requiring immediate solutions may have to be handled without consulting subordinates. With less time pressure, participative decision making may be desirable.

A democratic leader may be forced by circumstance to be autocratic in making a particular decision. Managers are increasingly moving toward a more democratic style of leadership. They find that workers involved in decision making tend to be more interested in the overall organization and may be more motivated to contribute to organizational objectives that those not involved in decision making.

No single best style of leadership exists. The most effective leadership style depends on the power held by the leader, the difficulty of the tasks involved, and the characteristics of the workers. Extremely easy and extremely difficult situations are best handled by leaders who emphasize task accomplishment. Moderately different situations are handled by leaders who emphasize participation and good working relations with subordinates.

Public Relations Advertising


The past few decades have witnessed a substantial increase in the attention given by producers to their relations with various publics. There are many facets to public relations, which makes it difficult to develop a concise all-encompassing definition.

Public relations practice is the art and social science of analyzing trends, predicting their consequences, counseling organization leaders, and implementing planned programs of action which will serve the organization’s and the public interest.

Given the potential, advertising may provide an efficient instrument of communication in furthering the public relations of various firms.

Producers may have many “publics” to consider, including stockholders, employees, customers, prospective customers, professional educators, legislators, and citizen voters. All these and others have some interest in, and association with, specific firms. The attitudes that individuals and groups of people have toward the policies and practices of specific business institutions can have an important bearing on strikes, work slowdowns, consumer patronage, education of youth, and business legislation.

The means and ends of “public relations” advertising by producers are diverse. Generally, however, there is a common purpose—to favorably influence one or many of the firm’s public, in an inceasingly independent society.

The Management of Creativity


Creativity has been defined in dozens of ways, but essentially it means the process by which novel but situationally appropriate outcomes are brought about. The field of creativity is in full bloom. Thousands of pieces of research have probed creativity. These researches have x-rayed such opaque matters as what kind of people are creative individuals; what motivates them; how creative people go about identifying, defining, and solving problems; what efforts are creative; what constitutes creative thinking, what techniques aid creative problem solving; what sorts of environments foster creativity; the assessment of creativity and the level of creativity of human efforts; etc.

The management of creativity in organizational settings is relatively far less researched, but is of great importance in a world of huge collective challenges and fierce competition. It fuses two fields—management and creativity. Management can be defined in many different ways, but broadly it is an organized effort at improving the functioning of organizations through such processes as the fixing of goals, the development and implementation of a strategy for achieving goals, the control of operations to ensure that goals are being met, the coordination of interdependent activities, the creation of structures and systems, the management of human resources as well as of other stakeholders and so forth.

As a field, the management of creativity has some distinctive aspects that differentiates it from general creativity. The management of creativity involves various collectives: dyads, teams, departments and divisions, organizations, associations of organizations, even governance systems of communities and societies. Even when one is discussing managerial creativity (the creativity of individual managers), the focus is on creativity displayed in a collectivity and relating to the various tasks that need to be performed in that collectivity. The work-related context channels creativity in important ways—towards achieving the goals of the collectivity and in discharging various management functions. The focus is not ‘pure’ art or science, or individual self-actualization, but on creative behavior in an organizational setting in which the organization’s goals, policies, structures, systems and so forth call the shots. Although individuals working in organizations certainly attempt to pursue their own interests, they do so keeping in mind organizational requirements, and this feature strongly influences the form that creativity takes in organizational settings.
