Sentence Making


Words are like building blocks—we can put them together in all sorts of different ways in order to make many different kinds of sentences. When we write, it is very important to make complete sentences. It is a common goof  to write incomplete sentences—also called sentence fragments.

Punctuation marks do the same thing for a sentence that road signs o for a highway. Punctuation marks tell the reader when to speed up, when to slow down, when to stop, and what to expect up the road.

The ultimate separator is the period. It says, “Stop here.”  Question marls and exclamation marks are usually periods with special missions. The comma is then most common separator. It says “slow down.” Without commas we wouldn’t know when to pause. There are five other separators: colons, semicolons, parentheses, dashes, and brackets.

Stimulus Generalization


Stimulus generalization refers to how people recognize the same or similar stimuli in different settings. In other words, it is the process by which they can generalize a contingent from one setting to another. Following an initial stimulus response consequence sequence, a person learns in behaviors likely to produce some kind of reinforcement. Later, when presented with a similar stimulus in different surroundings, he or she knows that the same response is likely to elicit a similar consequence.

The Creative Selling Process


Although it may look easy, creative selling is not a simple task. Of course, some sales are made in a matter of minutes. But others, particularly for large organizational purchase, can take years to complete. Salespeople should follow a carefully planned process from start to finish.

Step 1: Prospecting: Prospecting is the process of finding and qualifying potential customers. This involves three activities:

  • Generating sales leads. Sales leads are names of individuals and organizations that might be likely prospects for the company’s products.
  • Identifying prospects. A prospect is a potential customer who indicates a need or a desire for the seller’s product.
  • Qualifying prospects. Not all prospects are worth investing sales time in. some may not have the authority to buy, and others won’t have enough money. The ones who do have both the authority and the available money are called qualified prospects.

Step 2: Preparing: With a list of hot prospects in hand, the salesperson’s next step is to prepare for the sales call. Without this preparation, the chances of success are greatly reduced. Preparation starts with creating a prospect profile, which includes the names of key people, their role in the decision-making process, and other relevant information such as the prospect’s buying needs, motive for buying, current suppliers, income/revenue level, and so on.

Next, the salesperson decides how to approach the prospect. Possible options for a first contact include sending a letter or cold calling in person or by telephone. For an existing customer, the salesperson can either drop by unannounced or call ahead for an appointment, which is generally preferred.

Before meeting with the prospect, the salesperson establishes specific objectives to achieve during the sales call. Depending on the situation, objectives can range anywhere from “getting the order today” to simply “convincing prospects top accept the company as a potential supplier.” Following that, the salesperson prepares the actual presentation, which can be as basic as a list of points to discuss or as elaborate as a product demonstration or multimedia presentation.

Step 3: Approaching the Prospect: Positive first impressions result from three elements. The first is an appropriate appearance—you wouldn’t wear blue jeans to call on a banker, and you probably wouldn’t wear a business suit to call on a farmer. Appearance also covers the things that represent you, including business cards, letters, and automobiles. Second, a salesperson’s attitude and behavior can make or break a sale. A salesperson should come across as professional, courteous, and considerate. Third, a salesperson’s opening lines should include a brief greeting and introduction, followed by a few carefully chosen words that get the prospect’s attention and generate interest. The best way to accomplish this is to focus on a benefit to the customer rather than on the product itself.

Step 4: Making the Presentation: the most critical step in the selling process is the presentation. It can take many forms, but its purpose never varies: to personally communicate a product message that will convince a prospect to buy. Most sellers use of two methods: The canned approach is a memorized presentation (easier for inexperienced sellers, but inefficient for complex products or for sellers who don’t know customer’s needs). The need satisfaction approach (now used by most professionals) identifies the customer’s needs and creates a presentation to specifically address them.

Step 5: Handling Objections: No matter how well a presentation is delivered, it doesn’t always conclude with an immediate offer that might move the prospect to buy. Often, the prospect will express various types of objections and concerns throughout the presentation. In fact, the absence of objections is often an indication that the prospect is not very interested in what the salesperson is selling. Many successful salespeople look at objections as a sign of the prospect’s interest and as an opportunity to develop new ideas that will strengthen future presentations.

Three basic approaches to overcoming objections include asking the prospect a question, giving a response to the objection, or telling the prospect that you will need to look into the matter and address it later.

Step 6: Closing: So far, you haven’t made a dime. You may have spent weeks or months—years in some cases—to bring the customer to this point, but you don’t make any money until the prospect decides to buy. This stage of the selling process, when you persuade the customer to place an order, is referred to as closing.

How should you ask for the order? Closing techniques are numerous; here are some of the more popular. The alternative proposal close asks the prospect to assumptive close, you simply proceed with processing the order, assuming that the prospect has already decided to buy. Another alternative is the silent close, in which you finish your presentation and sit quietly, waiting for the customer to respond with his or her buying decision. Finally, many salespeople prefer the direct close, where you just come right out and ask for the order.

These closing techniques might strike you as tricks, and in the hands of unethical salespeople, some closing approaches certainly can be. But the professional salesperson uses these techniques to make the selling process effective and efficient—not to trick people into buying when they aren’t ready.

Step 7: Following Up: Most salespeople depend on repeat sales, so it is important that they follow up on all sales and not ignore the customer once the first sale is made. During this follow-up stage of the selling process, you need to make sure that the product has been delivered properly and that the customer is satisfied. Inexperienced salespeople may avoid the follow-up stage because they fear facing an unhappy customer. However, an important part of a salesperson’s job is to ensure customer satisfaction and to build goodwill.

In order to improve the odds of keeping a satisfied customer after the sale, salespeople should remember to:

  • Handle complaints promptly and pleasantly
  • Maintain contact with customers
  • Keep serving the customers
  • Show appreciation.

Speaking the Body Language


About 60 to 70 percent of what we communicate has nothing to do with words. More important than speaking the language is what you communicate without words. Many travelers trust that if they don’t speak the language, there are a hundred gestures to get across almost any meaning. But gestures have quite different meanings in different parts of the world; body language is not universal. Subtleties are noticed, like the length of time you hold on while shaking hands. On a very unconscious level we can turn people off even when we are on good behavior. Thumbs up is considered vulgar in Iran and Ghana, equivalent to raising the middle finger in the United States. Touching a person’s head, including children’s, should be avoided in Singapore or Thailand. In Yugoslavia, people shake their heads for yes—appearing to us to be saying no.

In general, avoid gesturing with the hand. Many people take offense at being beckoned this way, or pointed out, even if only conversationally. In parts of Asia, gestures and even slight movements can make people nervous. If you jab your finger in the air or on a table to make a point, you might find that your movements have been so distracting that you have not made your point at all. Unintentionally, Americans come across as aggressive and pushy. Yet, in other parts of the world, particularly in Latin America or Italy, gesturing is important for self-expression, and the person who does not move a lot while talking comes across as bland or uninteresting. As always, watch what local people do. Or ask.

Body language is more than gestures. You communicate by the way you stand, sit, tense facial muscles, tap fingers, and so on. Unfortunately, these subtler body messages are hard to read across cultures; mannerisms don’t translate. In many parts of the world, looking someone in the eye is disrespectful.

In Japan a person who looks a subordinate in the eye is felt to be judgmental and punitive, while someone who looks his superior in the eye is assumed to be hostile or slightly insane. The Arabs like eye contact—the eyes are windows to soul—but theirs seem to dart about much more than Americans. We don’t trust “shifty-eyed” people.

Subtle differences in eye contact between the British and North Americans can be confusing. English listening behavior includes immobilization of the eyes at a social focal distance, so that either eye gives the appearance of looking straight at the speaker. On the other hand, an American listener will stare at the speaker’s eye, first one, then the other, relieved by frequent glances over the speaker’s shoulder.

Eye contact during speaking differs too. Americans keep your attention by boring into you with eyes and words, while the British keep your attention by looking away while they talk. When their eyes return to yours, it signals they have finished speaking and it is your turn to talk. These almost imperceptible differences in eye contact interfere with rapport building and trust.

Thinking Flexibility


You have to sell the flexibility of the structure to the people who work for you, and the only way to do this is by deeds rather than words. Your employees have to see the tangible proof not only that the structure is flexible but that the flexibility works to their advantage and their self-interest.

People within the structure should also feel flexibility. They should know that they are going to try out good ideas, no matter who thought of them, no matter how directly or indirectly these ideas applied to their division or their specific areas of responsibilities. They also need to know that if someone came up with a good workable idea was not simply going to be handed over to someone else. Whoever conceived it it would be involved in its execution.

An Advice to Change Leaders: Persuade Indirectly


In large organizations, it is not feasible to persuade people through one-on-one communication. Particularly, if the organization is multi-locational, persuasion has to be through indirect means such as memos, speeches and newsletters. Change leaders also need to build capabilities in persuading others indirectly. The following guidelines can help managers be effective in indirect persuasion:

  1. Neutralize the power of informal networks: Change leaders need to develop reliable communication channels to communicate their change agenda directly to employees in the organization. Otherwise people will rely on informal grapevine that can distort the change message either unintentionally or deliberately. In either case, employees may develop unfavorable perceptions of the change agenda leading to opposition and resistance. Communication channels such as employee forums, town meetings and special newsletters can counter the grapevine and informal networks. Change leaders must be particularly careful in not withholding bad news because such news gets out very quickly into the grapevine.
  2. Repeat the message: Focus and repetition are critical for effective communication. This means that the change agenda should consist of only a limited number (two or three, at best) of themes. These themes need to be repeated and reinforced through different communication channels.
  3. Match the medium to the message: Speeches and video-conferences are ideal to communicate vision and values; these media are also appropriate to inspire people to embrace change. On the other hand, data, graphs and charts are best conveyed in the written form—such as memos, newsletters and web pages. Change leaders must think very carefully about appropriate media before communicating their change agenda.
  4. Simplify the message: The change agenda needs to be conveyed through a framework that is conceptually simple and easy to grasp. Yet, change leaders must avoid the trap of oversimplification. Oversimplified messages sound trite and faddish and can significantly reduce the credibility of the communicator. Simple frameworks are easy to remember, and are also powerful in framing the change agenda to mobilize support.
  5. Create a new story about change: Stories constitute a powerful medium to mobilize support. People are more likely to remember stories rather than facts and figures. Stories are also more effective in persuading people to alter their perceptions of change. Therefore change leaders need to be able to craft their change agenda in the form of story.
  6. Build personal credibility: Change leaders who are respected, considered trustworthy and competent are more likely to be effective in persuading their employees to embrace change. Personal credibility is built on the foundation of consistency. Change leaders must demonstrate consistency between their thoughts, words and behavior. Inconsistent, self-serving behavior can severely erode the credibility of a leader.

Talking about Signs


Think of signs in two ways: those that appeal to people outside of your place of business and those that appeal to people who are within the place where you do business. The first category consists of billboards, small signs on bulliten boards, window signs, store signs, banners, signs on trees, and poster-type signs. Category two is made up of interior signs, commonly called point-of-purchase, or point of sale signs.

 Whichever you use, or if you use both, be certain that your signs tie in as directly as possible with your advertising. Your ads may have made an unconscious impression on your potential customers, and your signs may awaken the memory of that advertising and result in a sale. Many people will patronize your business because of your ads. Your signs must be consistent with your advertising message and identity or those people will be confused. If the signs are in keeping with your overall creative strategy, consumers’ momentum to buy will be increased.

 Most exterior signs are there to remind, to create a tiny impulse, to implant thoughts a wee bit deeper, to sharpen an identity, to state a very brief message. As a rule, exterior signs should be no more than six words long. Naturally, some successful signs have more than six words, but not many. Probably the most successful of all have just one to three words.

Outline of Cross-cultural Analysis of Consumer Behavior


  1. Determine Relevant Motivations in the Culture: What needs are fulfilled with the product in the minds of members of the culture? How these needs are presently fulfilled? Do members of this culture readily recognize these needs?
  2. Determine Characteristic Behavior Patterns: What patterns are characteristic of purchasing behavior? What forms of division of labor exist within the family structure? How frequently the product of this type purchased? What size packages are normally purchased? Do any of these characteristic behaviors conflict with behavior expected for this product? How strongly ingrained are the behavior patterns that conflict with those needed for distribution of the product?
  3. Determine What Broad Cultural Values Are Relevant to This Product: Are there strong values about work, morality, religion, family relations, and so on that relate to the product? Does this product connote attributes that are in conflict with these cultural values? Can conflicts with values be avoided by changing the product? Are there positive values in this culture with which the product might be identified?
  4. Determine Characteristic Forms of Decision-making: Do members of the culture display a studied approach to decisions concerning innovations or an impulsive approach? What is the form of the decision process? Upon what information sources do members of the culture rely? Do members of the culture tend to be rigid or flexible in the acceptance of new ideas? What criteria do they use in evaluating alternatives?
  5. Evaluate Promotion Methods Appropriate to the Culture: What role does advertising occupy in the culture? What themes, words, or illustrations is taboo? What language problems exist in present markets that cannot be translated into the culture? What types of salesmen are accepted by members of the culture? Are such salesmen available?
  6. Determine Appropriate Institutions for This Product in the Minds of Consumers: What types of retailers and intermediary institutions are available? What services do these institutions offer that are expected by the consumer? What alternatives are available for obtaining services needed for the product but not offered by existing institutions? How are various types of retailers regarded by consumers? Will changes in the distribution structure be readily accepted?

Just about Vision


Vision implies imagery, and the outstanding leaders do create a world inside their heads, a vision of the future, which guides their day to day actions; it provides the coherent model. This is an ability that we all have but few of us employ. The vision is not an attainable end state, but rather a continuing process. There is no complete description—the patterns of our minds unfold beyond our ability to describe them. There is enough substance to make it almost tangible, yet sometimes it lurks in shadows. Sometimes it is alive with sound and brightness, and sometimes it is tranquil. But it is always connected at a deep level with the heart and with the gut.

Vision grows in the feedback-feedforward relationship between what might be (the word in the mind) and the present potential (the sensitive perception of the environment), and it thrives on difference. Indeed, vision seems ever elusive like the rainbow—wherever one moves, it is just beyond reach. Yet like the guiding star, it is powerfully reliable guide.

Since vision is systematic, it sees the parts and the whole in a way that the linear progression of words can never achieve. It can map the flow of the links of value from the heart of the business to the customer, and through the business to the stakeholders. It emphasizes the patterns that are the life of the business.

In order to build this hologram called vision, it is absolutely necessary to take a step back from the day-today issues. It is a qualitatively different mode of thinking than that of everyday management but will produce a level of certainty that informs each management decision. Allow some quite time in which you can really reflect in a relaxed state of mind. An easy walk in the country or a quiet evening alone provides suitable settings for most people.

Plagiarism and Copyright Violation


Plagiarism and copyright violation are complicated issues, especially in modern technical writing.

Plagiarism is the practice of using someone else’s words or ideas without crediting the source. Many organizations treat authorship of internal documents, such as memos and most reports, casually; that is, if the organization asks you to update an internal procedures manual, it expects you to use any material from the existing manual, even if you cannot determine the original author.

Organizations tend to treat the authorship of published documents, such as external manuals or journal articles, more seriously. Although the authors of some kinds of published technical documents are not listed, many documents such as user’s guides do acknowledge their authors. However, what constitutes authorship can be a complicated question, because most large technical documents are produced collaboratively, with several persons contributing text, another doing the graphics, still another reviewing for technical accuracy, and finally someone reviewing for legal concerns. Problems are compounded when a document goes into revision, and parts of original text or graphics are combined with new material.

The best way to determine authorship is to discuss it openly with everyone who contributed to the document. Some persons might deserve to be listed as authors; others, only credited in an acknowledgment section. To prevent changes of plagiarism, the wisest course is to be very conservative: if there is any question about whether to cite a source, cite it.

A related problem involves copyright violation. Copyright law provides legal protection to the author of any document, whether it be published or unpublished, and whether the author be an individual or a corporation. Unfortunately, some companies will take whole sections of another company’s product information or manual, make cosmetic changes, and publish it themselves. This, of course is stealing.

But the difference between stealing and learning from your competitors can be subtle. Words are protected by copyright, but ideas aren’t. Rare is the manufacturer who doesn’t study the competitor’s users’ guides to see how a feature or task is described. Inevitably, a good idea spreads from one document to another, and then to another. If one manual contains a particularly useful kind of troubleshooting guide, pretty soon a lot of others will contain similar ones. Even though this process of imitation tends to produce a dull uniformity, it can improve the overall quality of the document. Under no circumstances, however, should you violate copyright by using another organization’s words.
