Writer’s Checklist


When writing a technical report ask yourself following questions:

  • What is reader’s name and job title?
  • What are reader’s chief responsibilities on the job?
  • What is reader’s educational background?
  • What is your reader’s professional background (previous positions or work experience)?
  • What is reader’s attitude toward the subject of the document?
  • What will the reader do with the document: file it, skim it, read only a portion of it, study it carefully, modify it and submit it to another reader, attempt to implement recommendations?
  • What are the reader’s likes and dislikes that might affect his/her reaction to the document?
  • How will your reader’s physical environment affect how you write and package the document?
  • What is your purpose in writing?
  • What is the document intended to accomplish?
  • Is your purpose consistent with your audience’s needs?
  • How does your understanding of your audience and of your purpose determine your strategy: the scope, structure, organization, tone, and vocabulary of the document?
  • Are there any organizational constraints that you have to accommodate?
  • Are there any informational constraints that you have to accommodate?
  • Are there any time constraints?
  • Have you checked with your primary reader to see if he or she approves of your strategy for the document?

Rolling up your Sleeves


If there’s one way that you can get other people to become more interested and more focused on improving themselves, it is to lead by example. Take time out to go on training courses, even though you may be too busy. Take time to read useful information, not just novels, books or newspapers but actual up-to-date books and texts from the experts within your industry. Practise your skills, use them and make sure that they’re developed as far as they possibly can be. If it means learning a new language or learning a skill that you don’t have then take on that challenge. It is very difficult to manage people well if you have low self-esteem, but if you feel good about yourself and you have that feeling of progress and achievement, then it is very hard for this not to rub off on other people.

Learning


Learning can be defined as a relatively permanent change in behavior or potential behavior that results from direct or indirect experience. Learning involves change. After we have learned, we are somehow different from what we were before—for better or worse.

The change brought about by learning tends to be long lasting. Thus, a student who memorizes material for an exam and promptly forgets it after the test has not really learned anything. Learning affects behavior or potential behavior. Because we cannot read minds, we must depend on observation to see how much learning has occurred. The changes brought about by learning result from direct or indirect experience.

Consumer Sovereignty


Mainstream economics uses some simple starting points; it believes that they are the best possible. First is that agents have more wants than they can attain, so that they feel scarcity; in fact, for practical purposes, wants are assumed to be endless. Second, third and fourth are that agents are self-interested, rational, and the best judges of their own well-being. These four assumptions are indeed usually good starting points, rather than starting by assuming that agents are completely fulfilled, altruistic, irrational, and not well-placed to evaluate their own situation. They are not equally good as finishing points. Sometimes good arguments exist for not accepting them.

An assumption that agents are the best judges of their own well being is less questionable for businesspeople and corporations, given the resources they have for analysis. Debate focuses more on consumers. The phrase consumer sovereignty is sometimes read descriptively, to mean that consumers are sovereign, in that procedures are induced via profit-seeking and competition  to provide what consumers want. Sometimes it is read normatively, to mean that consumers should be sovereign, their wishes should prevail concerning what is good for them. The normative claim can rest on three different bases: that consumers do make good choices; that the alternative stance is worse – to use someone else’s judgments and estimates of what is good for a person and how good it is; or quite differently, that people have the right to make their own choices and mistakes.

Consumers will not make good choices automatically and unconditionally. Our wants are not simple; for example, some are wants to not to have other wants (such as the desire to smoke or a compulsion to gamble). Establishing a mature balance between wants involves skills. Choice is also unlikely to bring satisfaction if taken on the basis of weak information. Markets often do not provide consumers with full and reliable information, for it is hard to exclude people from information and therefore to ensure payment for it, so its market supply is weakened. Instead, in a commerce-dominated society, one of the main types of information that adults get will be images that say the good life is obtained through high consumption of commodities; there is too little counteracting public information.

The issue of consumer sovereignty goes beyond whether choices are good for the chooser. Other people are affected. Some wants may thus be unacceptable, notably wants that bring harm to others, including even wants to harm others. Mainstream economists have unfortunately often taken a don’t-want-to-know approach to ethics in which they confuse acceptance of all wants with a value-neutral stance.

Writing a Marketing Plan


  • Use a direct, professional writing style. Use appropriate business and marketing terms without jargon. Present and future tenses with active voice are generally better than past tense and passive voice.
  • Be positive and specific. At the same time, avoid superlatives (such as terrific, wonderful). Specifics are better than glittering generalities. Use numbers for impact, justifying computations and projections with facts or reasonable quantitative assumptions where possible.
  • Use bullet points for succinctness and emphasis. As with the list you are reading, bullets enable key points to be highlighted effectively and with great efficiency.
  • Use “A level” (the first level) and “B level” (the second level headings under major section headings to help readers make easy transitions from one topic to another. This also forces the writer to organize the plan more carefully. Use these headings liberally, at least once every 200 to 300 words.
  • Use visuals where appropriate. Illustrations, graphs, and charts enable large amounts of information to be presented succinctly.
  • Shoot for a plan 15 to 35 pages in length, not including financial projections and appendices. An uncomplicated small business may require only 15 pages, while a new business startup may require more than 35 pages.
  • Use care in layout, design, and presentation. Laser or ink-jet printers give a more professional look than  do dot matrix printers or typewriters. A bound report with a cover and clear title page adds professionalism.

Preparing a Resume


All job applicants need to have information circulating that reflects positively on their strengths. That information needs to be sent to prospective employers in a format that is understandable and consistent with the organization’s hiring practices. In most instances, this is done through the resume.

No matter who you are or where you are in your career, you need a current resume. Your resume is typically the only information source that a recruiter will use in determining whether to grant you an interview. Therefore, your resume must be a sales tool; it must give key information that supports your candidacy, highlights your strengths, and differentiates you from other job applicants.

It is important to pinpoint a few key themes regarding resumes that may seem like common sense but are frequently ignored. If you are making a paper copy of your resume, it must be printed on a quality printer. The style of font should be easy to read—Courier or Times New Roman. Avoid any style that may be hard on the eyes, such as a script or italic font. A recruiter who must review 100 or more resumes a day is not going to look favorably at difficult to read resumes. Use an easy to read font and make the recruiter’s job easier.

It is also important to note that many companies today are using computer scanners to make the first pass through resumes. They scan each resume for specific information like key job elements, experience, work history, education, or technical expertise.

Great Advertising Precedes Great Research


It’s not difficult to turn up a marketing pro who will tell you that the three most important things to do to market anything successfully are to test, test, and test. That is a pretty good advice. But it is unrealistic for those with resource poverty, who cannot shell out big bucks for sophisticated research.

The big secret is that you need not shell out any money to learn about your market. If you know what to look for and where to find it, you can obtain critical information for nary a cent. Here below are some of the things you might want to find out:

  • What should you market – your goods, your services, or both?
  • Should your marketing feature some sort of price advantage?
  • Should you emphasize yourself, your quality offerings, your selection, your service, or merely the existence of your business?
  • Should you take on your competition or ignore all competitors?
  • Exactly who are your competitors?
  • Who are your best prospects?
  • What income groups do they represent?
  • What motivates them to buy?
  • Where do the live?
  • What do they read or watch or listen to in the way of media?

The right answers to these questions can prove invaluable to a marketing effort. The wrong answers, or no answers, can prove disastrous. Do what you must to get the right answers. In most cases, great advertising is preceded by great research.

Memos and Reports


Memos and Reports are perhaps the most commonly used medium for communicating business information and probably the most abused. The benefits of using memos and reports are that they allow the manager to communicate a lot of detailed information at one time. They also provide documentation of what was communicated that can be helpful in the future. The same message can be communicated to a number of people within a relatively short period of time.

The problem with memos is that they often go unread for one or more of the following reasons:

  • They have no clear objective or purpose.
  • They are too long.
  • They are written in a way that is difficult for the reader to understand.
  • Irrelevant data is included.

Reports are also a problem in many companies. Stacks and stacks of reports are generated and circulated on a regular basis and much of the time no one reads them because:

  • The reports are sent to the wrong people.
  • The reports are prepared in such a way that it is difficult to extrapolate the information needed.
  • Too much information is communicated.
  • The reports have not changed over time to meet the changing need of the managers.

If you are generating memos and reports within your area, you’ll want to make sure that you are not guilty of any of these shortcomings. If your people are using memos and reports generated by other areas that are not meeting their information needs, you should work with your peers and/or higher-ups to make the necessary changes.

Delayed Performance


Delayed performance will always justify a claim of damage where it can be shown that loss was occasioned by the delay. Most courts hold, however, that delayed performance will not be a material breach justifying rescission unless performance by a certain date is a condition precedent in the contract. If the late performer has any reasonable excuse for delay, the courts may allow damages but will seldom agree to rescission.

In agreements for the sale of marketable merchandise, however, a contract calling for shipment or other performance within a designated time is generally held to be a condition precedent. The difference between merchandise contracts and other contracts is in the position of the injured parties. A delay of a week in obtaining possession of a new home would not likely be crucial to the average home buyer. But a merchant’s success depends on the prompt delivery of goods to customers. Often advertising and sales programs are scheduled around specific delivery dates. Consequently, a delay in the shipment of merchandise is usually held to be a material breach.

Delay cannot be tolerated indefinitely in any kind of contract, however. After the passage of a reasonable time without performance the courts will permit rescission in almost any kind of contract. What is a reasonable time will vary with the type of agreement and all the surrounding circumstances. If no date is specified in the agreement, the courts interpret this to mean that performance must be done within a reasonable time. When time is of great importance, the contract should always be drafted to read that “time is definitely of the essence in the performance of this contract.”

In a bilateral contract, the injured party cannot regard the other party as being in default until the injured party has offered to perform. In legal circles, this offer by the injured party is called a tender. Depending on the terms of the contract, the tender must be either an offer to pay or an offer to perform a service.

Planning a Research Strategy


If you plan your research strategy carefully, the whole project will flow smoothly. Follow these steps:

1. Work out a schedule and budget for the project that requires the research. When is the deliverable—the document or the presentation—due? Do you have a budget for phone calls, database, or travel to libraries or other sites?

2. Visualize the deliverable. What kind of document will you need to deliver: a proposal, a report, a Website? What kind of oral presentation will you need to deliver?

3. Determine what information will need to be part of that deliverable. Draft an outline of the contents, focusing on the kinds of information that readers will expect to see in each part. For instance, if you are going to make a presentation to your supervisors about the use of e-mail in your company, your audience will expect specific information about the number of e-mails written and received by company employees, as well as the amount of time employees spend reading and writing it.

4. Determine what information you still need to acquire. Make a list of the pieces of information you don’t have. For instance, for the e-mail presentation, you might realize that you have anecdotal information about employee use of e-mail, but you don’t have any specifics.

5. Create questions you need to answer. Make a list of questions, such as the following:

    1. How many e-mails are written each day in our company?
    2. How many people receive each mail?
    3. How much server space is devoted to e-mails?
    4. How much time do people in each department spend writing and reading e-mail?

Writing the questions in a list forces you to think carefully about your topic. One question suggests another, and soon you have a lengthy list that you need to answer.

6. Conduct secondary research. For the e-mail presentation, you want to find out about e-mail usage in organizations similar to yours and what policies these organizations are implementing. You can find this information in journal articles and from Web-based sources, such as online journals, discussion groups, and bulletin boards.

7. Conduct primary research. You can answer some of your questions by consulting company records, by interviewing experts (such as the people in the Information Technology department in your company), and by conducting surveys and interviews of representative employees.

8. Evaluate your information. Once you have your information, you need to evaluate its quality: is it accurate, comprehensive, unbiased, and current?

9. Do more research. If the information you have acquired doesn’t sufficiently answer your questions, do more research. And, if you have thought of additional questions that need to be answered, do more research. When do you stop doing research? You will stop only when you think you have enough high-quality information to create the deliverable. For this reason, you will need to establish and stick to a schedule that will allow for multiple phases of research.
